Job Objective:   Serve as the administrative assistant to the Fort Madison manufacturing plant, as well as provide facility-wide daily and project administrative support to all Plant departments.

What you’ll do in this role:

  • Provide daily and project administrative support to Fort Madison Plant Director, as well as all other Fort Madison plant departments.

  • Assist Human Resources with tasks and projects such as: new hire & associate data change processing (local and corporate), frequent or large misc. typing, duplication and/or distribution projects. Receive and process associate legal garnishment services, respond to verbal applicant hiring status calls and general verification of employment calls, etc Schedule interviews.

  • Input all hourly payroll, utilizing payroll module weekly. Distribute departmental reports to tracking hours worked (overtime and vacation reporting). 

  • Complete administrative functions of hourly voluntary layoff program.

  • Coordinate arrangements for on & off-site meetings, e.g., make reservations, order food, coordinate meeting room arrangements, ensure required supplies are available, etc.

  • Direct visitors to appropriate Company contact and answer and direct incoming phone calls.

  • Maintain information, data, and support for specific departments as requested.           

  • ESH program management and reports.  

  • Assist/support Finance with AP resolutions as well as framework POs

  • Coordinate arrangements for on & off-site meetings for the facility.

  • Make reservations, order food, coordinate meeting room arrangements, ensure required supplies are available, etc.

  • Promote, Maintain and/or Administer associate and community activities as requested

  • Associate Birthday and Service Anniversary  Programs

  • Communication of events and activities

  • Management/Distribution of employee “give-ways/drawings”

  • Maintain Contribution/Donation information

  • Utilize and understand corporate purchasing and payment programs for supplies, meals, contributions, etc.

  • Order, receive, distribute and maintain appropriate inventory of administrative and office supplies.

  • Administer companies uniform allowance program and maintain other vendor relations as requested.

  • Maintain Facility Access (Badge System).

  • Process incoming and outgoing mail.

  • Other task as assigned

What you’ll need to be successful:

  • High School Diploma or GED required, with additional business courses a plus.

  • Extensive working knowledge of Windows , min. 50 wpm and Google Suite.

  • Ability to accept work direction from multiple sources. (Competency: Build Relationships)
