We are looking for a Junior Dispatcher for our manufacturing facility located in Delhi, ON

The Junior Dispatcher & Administrative Assistant is responsible in managing and directing all incoming inquiries through the dispatch telephone lines to ensure a clear, efficient flow of information to the appropriate people, answer customer requests, taking information and arranging dispatch of company goods to client locations, preparing reports and maintaining appropriate filing system. In addition, will assist with general office duties.  The Junior Dispatcher & Administrative Assistant may be required to work on holidays and weekends from time to time.

What you'll do in this role:

  • Answer and dispatch customer requests
  • Update customers on the status of their deliveries including any delays that occur
  • Organize and schedule appointments
  • Be the front line contact for drivers and communicate with drivers that appointment times are met
  • Oversee filling and electronic file updates, record keeping
  • Assist in the recruiting process for the site
  • Update spreadsheets as needed to accurately capture data of daily deliveries/order
  • Customer reporting and tracking spreadsheets as required
  • Write and distribute email, correspondence memos, letters, and forms
  • Assist in the preparation of regularly scheduled reports
  • Maintain call logging system queue

What you'll need to be successful:

  • Proven experience as an Administrative Assistant, Virtual Assistant or dispatching
  • Ability to remain calm under pressure including handling potential heavy workloads during peak times
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Ability to follow oral and written instructions
  • Strong organizational skills with the ability to multi-task
  • Must be willing to work flexible schedule and overtime if the demand arises
  • High School degree
  • Additional qualification as an Administrative assistant, Secretary or dispatcher or planner will be a plus
