If you enjoy a fast-paced, high energy and seasonal manufacturing environment then you will fit in well as an Office Manager for Scotts Miracle-Gro. On a day-to-day basis you will be responsible for the administration of all plant objectives including financial, safety, associate development, quality and customer service. You will direct and/or provide a broad range of activities including customer service, maintenance of personnel records, payroll reporting, maintenance of data records for production and inventory, and maintenance and reconciliation of accounts payable and receivables.

What You'll Do In This Role:

  • Supervise work activities of the office, administrative, and janitorial staff across three shifts in a 24/7 operation.  

  • Assign and direct work, interview and recommend hiring, train employees, evaluate work performance, recommend compensation levels and disciplinary action as appropriate. Develop and encourage team rapport among office staff.

  • Organizes main employee-engagement events for the site. 

  • Supports corporate initiatives and activities.  

  • Provide and direct clerical support for any plant items.

  • Maintain plant personnel records, workers compensation records, accident and OSHA logs, and enter data for the payroll system.

  • Be a main timekeeper for the office and janitorial staff and back-up for supervisors.

  • Manage the relationship with temporary agencies to ensure compliance with all corporate and local requirements concerning employment.  

  • Responsible for the maintenance of all accounts payable and receivables at the plant level managed by the office staff. Process logs and file invoices and purchase orders, maintain and reconcile accounts payable accounts and petty cash fund. Maintain and generates inventory goods receipts, physical inventory documents and reports of departments under responsibility.

  • Assists other supervisors, managers and/or plant manager in the overall operation of the facility; performs special projects as requested.

  • Supports HR and Disability Management in following up with associates and providing updates on leaves, workers’ compensation, hires, and terminations. 

  • Supports management in communication of compensation changes and benefit plans.

  • Provide support to employees in various HR-related topics such as leaves and compensation and resolve any issues that may arise. Partners with HR, on-site managers, supervisors, and EHS to maintain office policies as necessary. 

  • Assists in development and implementation of human resource policies

  • Organize office operations and procedures.

  • Ensures supplies across janitorial and office requirements are met in alignment with budget and cash flow goals for the sites. 

  • Manage contract and price negotiations with event vendors and service providers.

  • Provide general support to visitors

  • Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement and office systems.

  • Perform review and analysis of special projects and keep the management properly informed

  • Supports office coordinator in providing orientation and training to new employees.

  • Ensure top performance of office staff by providing them adequate coaching and guidance

  • Responsible for ensuring office financial objectives are met by adhering to annual budget for the office, plant events, planning the expenditures, analyzing variances and carrying out necessary corrections that may arise. Works with Finance as needed in forecast and updates.

What you'll need to be successful:

  • A High School Diploma or GED

  • Bachelor’s or Associate’s Degree strongly preferred. 

  • Three to five years of office experience administrative in a manufacturing or warehouse environment, including prior supervisory experience.

  • Bilingual (English-Spanish)

  • Strong background in HR policies, Federal, and CA labor laws. 

  • Excellent written and verbal communication skills (English and Spanish).

  • Strong organizational and planning skills

  • Ability to learn new software.

  • Computer skills and knowledge of office software packages. Proficient in MS Office, Gmail.

  • The ability to work overtime

  • Excellent leadership skills are required. Must be able to effectively multi-task, problem solve in a fast paced environment and direct others to achieve required goals.

  • Knowledge of accounting, data and administrative management practices and procedures

  • Knowledge of clerical practices and procedures
