The HR Shared Services Specialist - Canada, based in Mississauga, Canada will report to the Director of the HR Shared Services and will serve as the Canadian execution arm, providing HR Shared Services support for the Canadian business unit.  This role provides a broad scope of services to support the execution of human resources activities and processes in close partnership with the Regional HR Business Partners supporting Canada. The Specialist delivers accurate and timely processing of HR transactions and delivers outstanding customer service to internal and external clients. Evaluates work requests and determines appropriate priority and resolution. Works with various HR functional areas to accomplish work goals.

This is a Bilingual (Canadian French and English) position. Candidates are expected to speak and write in both languages.

Duties & Responsibilities

1. Significantly contribute in creating a positive candidate and new hire experience

  • Support salaried and hourly recruiting work which includes creating requisitions and position management activities 

  • Schedule interviews, correspond with candidates, respond to candidate inquiries and process paperwork in a timely manner

  • Execute the initiation of pre-hire activities such as background screening, relocation benefits and CPIC compliance

  • Create or validate offer and compensation letters for associates as needed and as directed by the Director, HR Shared Services

2. In partnership the HR Operations, manage and administer HR programs and policies

  • Facilitate other HR programs and HR communication forums as needed

  • Analyze program processes and performance to communicate insights and improvement recommendations to HR process owners

  • Work with the Canada Benefits Administrator to ensure Associate hires and changes are executed timely and accurately

3. Foster positive Associate relations 

  • Serve as a vital source of Human Resource information for associates and HR partners

  • Counsel Associates how to locate and/or perform certain self-service processes and/or tasks

  • Assist Associates and HR partners by being an initial point of contact to immediately resolve inquiries, or redirect to escalated support resources as needed

4. Maintain document compliance

  • Correspond with Associates to ensure all proper documentation is received upon hire, tracked and filed accordingly 

  • Personnel record administration

  • Maintain Associate personnel records in conjunction with offsite storage vendor 

  • Support the HR and Legal departments by fulfilling record requests

5.  Participation and execution of special projects

  • Identify, and help execute, process improvement needs in areas stated above

  • Participate in various HR projects as they arise

  • Assist in driving HR Shared Services process harmonization across all facets of the business 

  • Train and guide new associates when they join the HR team

  • Engaged, aware and knowledgeable of HR laws and processes specific to Canada and all Canadian provinces

  • Ability to communicate in French, both verbally and written

Education & Experience

  • Bachelor's degree, preferably in Human Resources, with 1 - 3 years related professional experience, or an equivalent combination of education and experience

  • Workday experience a plus
