We are looking for a Senior Administrative Assistant at our Marysville, OH corporate office world headquarters to support the IT Leadership Team, including the Chief Information Officer, as well as the Senior Leader of Supply Chain.

Reporting directly to the CIO, the Senior Administrative Assistant will interact with Executive Leadership, Senior Leadership, and their teams by providing executive support. The Senior Administrative Assistant must be creative, results-driven, and enjoy working within a fast-paced environment. The ideal individual will have the ability to exercise good judgment in a variety of situations, and communicate and interact with all levels of Leadership. This will  include strong written and verbal communication, administrative, organizational skills, and the ability to maintain a realistic balance among multiple priorities and stakeholders. The Senior Administrative Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

What you’ll do in this role:

  • Perform general day to day administrative office duties, including but not limited to: scheduling of meetings, managing and maintaining Sr. Management and IT Leadership Team calendars, phone coverage, screening phone calls, preparing documents, filing, travel and expense reports with minimal supervision.

  • Collaborate cross-functionally with the company administrative team, other departments, vendors, and outside parties. 

  • Coordinate/book travel arrangements for the leadership team and incoming visitors, as needed, creating detailed travel agendas.

  • Complete expense reports.

  • Creates reports and presentations.

  • Create requisitions for Purchase Orders, and assist in processing of department invoices.

  • Coordinate and arrange catering and offsite meetings/events.

  • Provide administrative support for strategic planning efforts of both groups.

  • Assist with managing and tracking projects, as needed.

  • Order electronic equipment & business cards, as needed.

  • Handle confidential and sensitive information with discretion.

  • Performs other duties as assigned.

What you’ll need to be successful:

  • Minimum 5 years experience in an administrative position supporting senior level management. 

  • Fluent working knowledge of Google (gmail, calendar, drive); Concur.

  • Proficiency in Microsoft Office (Excel, Word, Powerpoint).

  • Ability to handle confidential information and be extremely detail oriented.

  • Ability to work in a fast paced environment and successfully multitask.

  • Strong customer service orientation and problem solving skills.

  • Ability to work independently, set and manage changing priorities and solve problems utilizing sound judgement.

  • Strong written and verbal communication skills are required.

  • Available to work extended hours or overtime as needed based on business needs.
